Transitioning back to our physical work space

The Foundation is following the protocols established by WorkSafe BC and has established a set of protocols that we feel confident that will make transmission of COVID-19 at the Children’s Health Foundation unlikely.

Office safety protocols

Cleaning practices
  • Sanitizing spray bottles and paper towel will be placed throughout the office
  • Staff are asked to wipe down any surfaces that they have touched particularly common e. photocopier, fridge, coffee maker, door handles, conference phone
  • A “sanitization” station will be kept in the reception area. Please ensure your guests or visitors use the provided hand sanitizer as soon as they enter the office
  • Tidy your workspace at the end of the day to allow the cleaners access to thoroughly clean the area
  • Leave a hand sanitizer stand next to each light switch that is used often and is not manual

Masks will not prevent you from getting Covid-19 but they will help to keep others safe should you have undetected Covid-19.

  • Disposable masks will be available to anyone who wishes to wear one
  • We request that you have your own cloth mask for potential use while at work (common areas, etc.); please note that cloth masks must be cleaned daily
  • For any meetings where 2m of separation cannot be adhered to all attendees will be asked to wear a mask

Staff members who are experiencing any cold or flu-like symptoms (COVID or non- COVID related) are to stay home regardless of how mild the symptoms are. These symptoms include but are not limited to:

  • Fever
  • Chills
  • New or worsening cough
  • Shortness of breath
  • Sore throat
  • Painful swallowing
  • New muscle aches or headache
  • Any staff member experiencing any of the above symptoms must self-isolate at home for a minimum of 10 days
  • Anyone under the direction of the provincial health officer to self-isolate must follow those instructions
  • Staff who have an ill family member will also be asked to stay
  • Staff who experience signs of illness while at work should:
  • Put on a mask IMMEDIATELY
  • Notify your direct supervisor
  • Go home immediately via your own personal vehicle. Do NOT use public transportation
  • Any surfaces that the ill staff member has come into contact with must be cleaned and disinfected
  • Please monitor your health on a regular and on-going
Physical distancing
  • Always maintain a distance of 2m or 2 arms lengths between yourself and others
  • If you feel someone is standing too close to you, please ask them respectfully and kindly tomove back to a distance that supports your comfort level
  • Passing a co-worker briefly in a space that is less than 2m is considered to be safe as long as you do not pause or stop
  • Most staff can maintain a safe distance while in their offices. The distance between most doorways and desks is about 6 feet so a visitor can stand at your doorway and be a safe distance away
  • It has been determined that there should be a maximum of 5 persons at any one time working in our front office and a maximum of 4 persons at any one time working in our back office
  • Those that share an office will arrange with their fellow staff member to work in the office on alternate days, or else to work in an alternate location such as the boardroom (provided it is not being used that day)
Personal hygiene
  • Practice diligent hand hygiene always. Wash your hands regularly with soap and water for at least 20 seconds or use alcohol-based hand sanitizer with at least 60% alcohol content. Antibacterial soap is NOT required for COVID-19. This is key to staying healthy during the pandemic and beyond
  • Staff must wash their hands upon arriving for work, before and after breaks, and after handling cash or other materials such as mail
  • Staff will be supplied with bottles of hand sanitizer
  • Avoid touching your face including your eyes
  • Cough or sneeze into your elbow and not into your hand
  • If you cough or sneeze into your hand please wash your hands immediately
  • Handwashing is always preferable to simply using sanitizing liquid or foam
  • Anyone who has arrived from outside of Canada or who has had contact with a confirmed Covid-19 case must self-isolate for 14 days and monitor for symptoms
Fridge and ‘kitchen’ areas
  • Wipe down appliances and surfaces after use with provided sanitizing wipes or spray
  • Lunches can be safely stored in the fridge as long as they are not touching anyone else’s lunch (including bags, boxes, etc)
  • Please do not pick up or touch anything that is not yours in the fridge. If you do, please ensure that you wipe it down with sanitizing wipes.
  • Do not share food, drink, or
  • There will be policies regarding the building staff lunchroom provided shortly
  • Visitors, including donors, will be asked to book appointments to ensure their safety
  • Visitors trips to the office should be limited to only those that are absolutely necessary
  • Any visitor who is unwell will be asked to reschedule their appointment for when they are fully recovered
  • Please ask visitors and guests to use hand sanitizer upon entering the office. This will be available in the reception area
  • Masks are available for guest use if desired
  • There will be one seat available in reception; please ensure there is only one visitor in reception at one time
  • Beverages (coffee, tea, water) should not be offered at this time
  • Meetings will be held in rooms that can accommodate attendees at a safe distance
  • Alternatively, meetings will be held via video conference when safe distances cannot be guaranteed in meeting rooms
  • Some meetings may have mixed attendance – both physical and via video conference
  • Attendees will be asked to wear masks in instances where 2m between individuals isnot attainable but physical presence is important

It is vital that we all follow the above guidelines for our own safety, the safety of our families and the safety of our co-workers, visitors and colleagues.

This is an evolving situation and, as such, it is expected that these guidelines will evolve as well.
